Hive Forma LLC ("Hive Forma," "we," "us," or "our") is committed to protecting the privacy of the individuals and organizations we serve. This Privacy Policy describes how we collect, use, store, and protect information gathered through our website (hiveforma.com), our services, and any other interactions you have with us.

This policy covers all services and engagements delivered under the Hive Forma brand and the Hive29 brand. Hive29 is a DBA of Hive Forma LLC, operating under the same legal entity, data practices, and privacy standards described in this policy.

We are a B2B consulting practice. Most of the information we handle relates to organizational contacts and business operations, not consumer personal data. We collect only what we need to deliver and improve our work.

The short version: We collect only what's necessary. We don't sell your data. We don't run advertising. We use contact information to work with you and communicate about our services. We keep client engagement data for legal and operational purposes. You can ask us to delete or correct your information at any time.

What We Collect

We collect information in the following ways:

Information you provide directly:

  • Contact information (name, email address, phone number, organization)
  • Inquiry and communication content submitted through our contact form or by email
  • Engagement-related information shared during the course of an active project (system configurations, workflow descriptions, vendor details, org structures)
  • Billing and payment information (processed through secure third-party payment providers — we do not store full payment card data)

Information collected automatically:

  • Standard web server logs (IP address, browser type, pages visited, referring URL, timestamps)
  • Analytics data via privacy-respecting tools — used only to understand general site usage patterns
  • Cookie data as described in the Cookies section below

Information from third parties:

  • Contact or referral information provided by mutual contacts or partners when making an introduction
  • Publicly available professional information (LinkedIn profiles, company websites) when evaluating or preparing for an engagement

We do not use your information for advertising, behavioral profiling, or sale to third parties. We do not use your data to train AI models or contribute to third-party data products.

We do not sell, rent, or trade your personal information. We may share information only in the following limited circumstances:

  • Service providers: Trusted vendors who assist in delivering our services (e.g., cloud hosting, email delivery, CRM platforms) — bound by confidentiality and data processing agreements
  • Associates and subcontractors: Qualified individuals engaged to support specific client engagements — subject to equivalent confidentiality obligations
  • Legal requirements: If required by law, court order, or regulatory authority — we will notify you to the extent permitted by law before disclosing
  • Business transfer: In the event of a merger, acquisition, or sale of business assets — subject to equivalent privacy protections
  • With your consent: Any other sharing will only occur with your explicit prior consent

CRM disclosure: We use a CRM platform (currently Cloze) to manage client relationships and communication history. Contact information and engagement records are stored in this system and accessible only to Hive Forma team members involved in your engagement.

Data Retention

We retain information for as long as necessary to fulfill the purposes described in this policy, or as required by applicable law.

  • Inquiry records: Retained for 12 months from the date of last contact if no engagement is established
  • Client engagement records: Retained for 7 years following the conclusion of an engagement to satisfy legal, accounting, and contractual obligations
  • Financial records: Retained as required by US tax and accounting regulations — generally 7 years
  • Website usage data: Retained in aggregate or anonymized form only — raw log data is purged within 90 days

Security

Security is core to what we do — we apply the same standards internally that we recommend to clients. Our security practices include:

  • Encrypted data transmission (TLS/HTTPS) for all web and API communications
  • Multi-factor authentication on all internal systems and platforms
  • Endpoint protection and device management on all team devices
  • Role-based access — engagement data accessible only to team members directly involved
  • Vendor due diligence — we evaluate security posture before adopting any new platform that handles client data
  • Regular internal review of data handling practices

No system is perfectly secure. In the event of a data breach that affects your personal information, we will notify you promptly in accordance with applicable law and take immediate remedial action.

Cookies

Our website uses a minimal set of cookies — we do not use advertising cookies or third-party behavioral tracking.

  • Essential cookies: Required for basic website functionality (session management, form submission). Cannot be disabled without affecting site function.
  • Analytics cookies: We use privacy-respecting analytics (no cross-site tracking, no fingerprinting, no sale of data) to understand aggregate site usage. These can be disabled via your browser settings.

We do not use cookies from Facebook, Google Ads, or other advertising networks. You can control cookie settings through your browser preferences. Most browsers allow you to block or delete cookies.

If you are a California resident, the California Consumer Privacy Act (CCPA) grants you additional rights regarding your personal information.

Under the CCPA, you have the right to:

  • Know what personal information we collect, use, disclose, and sell
  • Request deletion of your personal information
  • Opt out of the sale of your personal information — we do not sell personal information
  • Non-discrimination for exercising your CCPA rights

To submit a CCPA request, contact us at hello@hiveforma.com with "CCPA Request" in the subject line. We will respond within 45 days.

As a B2B service provider operating primarily with organizational clients, many of our data processing activities fall under business-to-business exemptions from the CCPA's consumer provisions.

Children

Our services are directed exclusively to businesses and professional organizations. We do not knowingly collect personal information from individuals under the age of 18. If we become aware that we have collected personal information from a minor, we will take steps to delete it promptly.

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For material changes, we will provide notice via email (if we have your contact information) or a prominent notice on our website at least 14 days before the changes take effect.
